Integration with widely-familiar applications

Microsoft Dynamics GP works like and provides a high level of integration with other widely-familiar tools, such as Microsoft Office System and Microsoft SQL Server. FAQ's for Dynamics GP

Payables Management

Question:  How do I set up a one-time vendor? Will I be able to use that vendor again, if needed?

Answer:  When you set up the vendor, you can set them up as a temporary vendor.  In the Vendor Maintenance window, change the status from Active (the default) to temporary.  Temporary vendors are able to be deleted easily.  As long as the vendor does not have a current balance, a 1009 balance, and there are no open purchase orders in Purchase Order Processing (if you use this module), then the vendor can be deleted.  This vendor type can have records in history and still be deleted.

Question:  I have a duplicate vendor.  Can I combine all the vendor information into one vendor?

Answer:  The easiest way to do this is with a tool called Vendor Combiner.  With this tool, you can combine a current Vendor ID with another existing Vendor ID.  The original Vendor ID is removed from the system after the combining process is finished.  Data integrity is ensured as no data is lost, and work, open, and history records are combined into the new vendor.  This tool is available for purchase.

Question:  Is there a way to display all of my payments together when looking at the vendor payment history?

Answer:  Do an Inquiry - Transaction by Vendor and in the Documents field, choose By Type.  In the From/To box, select Payment.  Check the boxes to include Work, Open, and/or History and all your payments will show up.  Click the hide/show button to display another line of detail about the transaction.  You can also drill down to your original transaction entry screen and view the distribution accounts and how the transaction was applied.

Question:  Once a month has been closed and financial statements have been printed, can I enter an Accounts Paybel invoice for the closed month?

Answer:  As long as the fiscal period is open for Payables Transaction entry, you can enter an invoice for a prior period, but your financial statements will be different.

Question:  When I print my Computer Check edit list, is there a way to have just the Vendor name and amount to be paid print on the list?

Answer:  The report can be modified using Report Writer so that only the information you want is on your report.

Question:  Can old vendors that are not going to be used in the future be deleted?  I would like to be able to re-use the old vendor numbers on new vendors.

Answer:  Vendors can be deleted if they meet the following criteria:
                    - There is no current balance
                    - There is not a 1099 amount for the current year
                    - There are no posted or un-posted transactions        
                    - There are no transactions in history (temporary vendors can be deleted even if 
                      they have transactions in history)
To delete the history, you would click on the Purchasing Pane and under Utilities, remove the Transaction History and remove Distributions.  Then go to the vendor card and delete the vendor.
